Real estate chatbot: answer and qualify leads at any hour
A real estate chatbot instantly answers each listing's questions (price, location, availability), asks what your agent needs to know — buy or rent, area, budget and financing — and books a showing only with leads that fit. I build it connected to your live inventory, so it never offers a property that's already sold.
What’s happening today
Every listing on portals, Facebook Marketplace or social media generates dozens of messages. Most ask the same things: is it still available, how much is it, where exactly is it, do you accept FHA or VA financing? Agents spend hours answering those questions over and over, while the serious buyer with a pre-approval letter waits in the same inbox as the casual browsers.
Response time matters a lot in this business. People looking for a home usually contact several agencies at once, often at night or on weekends, which is when they have time to search. If the reply arrives Monday at noon, that lead has probably already booked a showing with someone else.
The information gathered in a chat rarely ends up somewhere the team can see it. It lives in each agent's phone: if the agent leaves, the leads leave with them; if the broker wants to know how many contacts a listing generated or which portal brings the leads that actually close, nobody can answer with data.
There's also a practical risk: with inventory changing every week, it's easy for an agent to keep offering a property that's already under contract, or to quote an outdated price. That erodes trust with the buyer and with the owner who gave you the listing.
How I’d solve it
- 01
Inventory as the single source of truth
The bot reads your properties from a database or from the spreadsheet your team already maintains, with their status (active, pending, sold). It answers with current prices and features and never offers something that's gone. Change a property's status and the bot knows immediately.
- 02
Agreed qualification questions
Together we define what an agent needs to know before calling: buy or rent, area, property type, budget, financing (cash, conventional, FHA/VA, pre-approved or not) and timeline. The bot asks naturally, in a few questions, without turning the conversation into an endless form.
- 03
Suggestions from your inventory
If the property the lead saw doesn't match their budget or is no longer available, the bot suggests similar options from your inventory in the same area or price range. A listing that's gone keeps generating opportunities.
- 04
Showing scheduling
The qualified lead picks a showing time based on the agent's availability, and the appointment lands on their calendar with a conversation summary: what they're looking for, what they can pay and which property interests them. The agent shows up knowing who they're talking to.
- 05
Logging and follow-up
Every conversation is saved in your CRM or a simple dashboard with its source channel. You can measure which portals and listings generate showings and closings, not just messages, and route leads between agents with clear rules.
Example flow: a lead from a portal listing
- On a Saturday at 10 p.m., a lead writes about a house they saw on a listing portal.
- The bot confirms it's still available and shares price, location, photos and the fact sheet.
- It asks whether they plan to finance or pay cash, and their approximate budget.
- Because the budget is lower, it suggests two similar homes from your inventory in the same area.
- The lead picks one and books a showing for Tuesday at 5 p.m.
- On Monday morning, the agent finds the appointment on their calendar with the full summary.

Frequently asked questions
Does the chatbot work with listing portals?
The bot handles the channel where messages arrive: SMS, WhatsApp, Facebook Messenger or a chat on your website. Many portal listings include a button that opens a message to your number, so those leads go straight to the bot. If a portal offers an API or emails lead notifications, those can also be logged automatically in your CRM.
Can the bot answer open questions about properties?
Yes, when it's combined with a language model restricted to your inventory data: square footage, bedrooms, amenities, HOA fees. The rule is that it only answers with data that exists in the listing and says "I'll confirm that with your agent" when it doesn't, instead of inventing. Price negotiation or a property's legal situation always goes to a person.
Do I need a CRM?
No. If you already use one with an API, I connect to it; if not, records can live in a simple dashboard or a spreadsheet while you grow. What matters is that the information stops living only on each agent's phone.
Isn't it impersonal for a bot to reply instead of an agent?
Not replying is more impersonal. The bot doesn't replace the agent: it handles first contact at any hour, organizes the information and hands the conversation to a person as soon as the lead is ready or asks for it. Done well, it introduces itself as the brokerage's assistant and doesn't pretend to be human.
What drives the cost of a real estate chatbot?
The number of channels (SMS, WhatsApp, Messenger, web), whether it should understand free text with AI or work with options, integration with your inventory and CRM, and whether it schedules showings across several agents. Messaging providers also charge per message. A first version with qualification questions and lead logging is a good starting point.
